Ubee AI ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, disclose, and delete your personal data when you use our website, platform, or connect through Meta products (including Facebook Login, Instagram Graph API, Messenger Platform, or WhatsApp Business / Cloud API). By using our Service you consent to the practices described in this Policy.

1. Information We Collect

1.1 Information You Provide Directly

  • Full name
  • Email address
  • Phone number
  • Business details (company name, role, industry)
  • Content of messages sent to us (including via WhatsApp, Instagram, Telegram, web forms)
  • Payment information processed by our licensed payment partners (we do not store card numbers)

1.2 Information Received Through Meta Platforms

When you connect your Facebook, Instagram or WhatsApp Business account, we may receive only the data strictly necessary to operate the Service:

  • Public profile information (name, profile picture, user ID)
  • Email address (only if explicitly granted by you)
  • Instagram Business / Facebook Page metadata you administer
  • Messages, attachments and contact information exchanged through messaging APIs
  • Page and message engagement metrics

We request the minimum permissions required and use this data only to provide chatbot, CRM and customer-communication features inside your own business account. We do not use Meta Platform data for advertising, profiling unrelated to your service, resale, or any purpose prohibited by the Meta Platform Terms or Developer Policies.

1.3 Automatically Collected Information

  • Device type, browser and operating system
  • Language and approximate location (city / country level)
  • IP address
  • Cookies and similar technologies used for session management and analytics

2. How We Use Your Information

  • Provide, operate and maintain the Ubee AI chatbot, CRM and automation services
  • Process, route and respond to messages received from your customers via connected channels
  • Process leads and support tickets on your behalf
  • Communicate service updates, security notices and billing information
  • Improve quality, reliability and analytics of the Service
  • Verify identity and prevent fraud, spam and abuse
  • Comply with legal obligations

We do not sell your personal data and we do not use data obtained from Meta APIs for advertising or to train third-party advertising models.

3. Legal Basis for Processing

We process your personal data on the basis of: (a) your consent; (b) performance of the contract to provide the Service; (c) our legitimate interests in operating and securing the Service; and (d) compliance with legal obligations.

4. Sharing of Information

We share data only with:

  • Service providers acting on our behalf (cloud hosting, infrastructure, logging) under written confidentiality obligations
  • Licensed payment processors strictly for billing
  • Meta Platforms, Inc. and its affiliates, solely to deliver messages and operate the integrations you have enabled
  • AI model providers for generating chatbot responses, on a transient processing basis without long-term retention by the provider
  • Competent authorities when legally required (subpoena, court order, applicable law)

We never sell, rent or trade your personal data to third parties.

5. Data Storage, Retention and Security

We store data using industry-standard encryption (TLS in transit, AES at rest) and host it on secure cloud infrastructure. Access is restricted to authorized personnel on a need-to-know basis.

We retain personal data only for as long as necessary to provide the Service or to comply with legal, accounting or reporting requirements. Message logs and chatbot conversations are retained for up to 24 months unless you request earlier deletion. Financial records may be retained longer where required by law.

6. Data Deletion Instructions

You may request deletion of your personal data at any time.

  • Your full name
  • Phone number or email used in Ubee AI
  • (If connected via Meta) your Facebook Page ID, Instagram username or WhatsApp Business phone number

Process:

  • We verify your identity
  • Personal data is deleted within 7 business days
  • You receive an email confirming completion
  • We will inform you if any data must be retained for legal or accounting reasons

7. Your Rights

Subject to applicable law, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your data
  • Request a portable copy of your data
  • Withdraw consent at any time
  • Object to or restrict processing
  • Lodge a complaint with the competent data protection authority

8. International Data Transfers

Your data may be processed in countries outside your country of residence. Where required by law we implement appropriate safeguards such as standard contractual clauses or equivalent mechanisms.

9. Children's Privacy

The Service is intended for business use. We do not knowingly collect personal data from children under 13 years of age (or the minimum age required by your local law). If we become aware that we have collected such data, we will delete it promptly.

10. Changes to This Policy

We may update this Policy from time to time. Updates will be posted at https://ubee.kz/privacy with a revised "Last updated" date. Material changes will be communicated via email or in-product notice.
